Manages and oversees Patient Access & Admitting, financial counseling, quality assurance/training, scheduling, registration, discharge, point of service collections, posting services performed across all clinic and hospital-based locations. Provides direct leadership to Interpretive Language Services. Develops working relationships with other departments and leaders to ensure effective Patient Access and Admitting as well as Interpretive Service functions are contributing to a most efficient and effective patient workflow resulting in the best possible patient care experience.

SCHEDULE: Monday-Friday 8a-5p. After hours/weekends as needed.

MAJOR RESPONSIBILITIES & DUTIES:

  • Facilitates and provides direct oversight to Patient Access operations both on-site and off-site for BTNRH Clinics and Interpretive Services

  • Oversees all registration and scheduling functions to ensure the highest efficiencies and customer service standards are met and maintained for all visitors presenting to BTNRH Clinics ensuring all performance, quality and benchmarking goals set for the Access department are consistently met or exceeded.

  • Facilitates the escalation or resolution of customer service issues in a timely and professional manner.

  • Oversees the interviewing, selection and evaluation of performance of Patient Access Specialists, 10x10 Patient Access, Interpretive Services, and Supervisory team members.

  • Ensures proper supervision of daily activities of all personnel in the above functions, providing coaching, mentoring, and discipline as necessary, for optimal performance and an overall positive patient care experience.

  • Serves as additional resource to physician and clinical team members for ongoing needs related to providing assistance for scheduling and coordination of patient care.

  • Tracks, trends and analyzes Patient Access front-end workflows, staffing patterns, productivity and quality results implementing changes when appropriate to fix issues, or identifying educational opportunities as they are identified at an individual, site specific or full team level.

  • Assists IT, serving as their registration and admitting liaison with Practice Management and EHR build, updates and maintenance, as related to front-end system functionality and optimal revenue generation and flow through the Revenue Cycle.

  • Ensures departmental compliance with State, Federal and Joint commission regulations and site readiness.

  • Provides oversight over physician schedules ensuring regular maintenance is performed.

  • Evaluates and implements cost containment measures, providing input into Patient Access capital and operational budget needs and monthly expenses which may include staffing or software.

  • Provides oversight to interpretive services ensuring proper mechanisms are in place to schedule and coordinate services as identified needed for patients and families.

  • Monitors, reports and makes necessary requests for modifications as needed to incoming call lines ensuring calls are answered in a timely manner, correct information is shared and in a professional and courteous manner with resolution reached prior to the end of call or transfer.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • In depth knowledge of access and admitting with emphasis in identifying necessary legal documentation for guardianship, HIPAA, and Consent.

  • Ability to function easily, with a high level of proficiency, in a variety of hospital and clinic patient practice management systems and revenue cycle software.

  • Proficient use of Microsoft Outlook applications (Outlook, Word and Excel.)

  • Ability to communicate clearly and concisely both orally and in writing with all staff, physicians, and patients in all aspects of the job to allow efficiency and promptness for patient care.

  • Ability to lead and mentor staff and coordinate activities, organizing departmental workloads to comply with deadlines and priorities established by the Director or Boys Town initiatives.

  • Knowledge of Explanation and Benefit and claims filing processes for both hospital and physicians.

  • Ability to coordinate and complete complex projects efficiently, effectively and on time.

  • Ability to serve as a positive role model, supporting the mission of the organization.

  • Knowledge of federal poverty guidelines and 501(r) requirements for processing of charity and Financial Assistance applications, preferred.

  • Knowledge of medical terminology, abbreviations, anatomy & physiology and diseases.

  • Excellent communication skills in order to communicate effectively both orally and in writing.

REQUIRED QUALIFICATIONS:

  • Associate degree in business, healthcare, or a related field or equivalent combination of education and experience is required.

  • Minimum of 5 years of experience in Physician and/or Hospital front-office setting, including experience with 3rd party payers, customer service, quality assurance, collections, registration and/or admitting is required.

  • Minimum of 2 years direct supervisory/management work experience required.

  • Experience with software applications, as they apply to the computerized patient record required.

PHYSICAL REQUIREMENTS, EQUIPMENT USAGE, WORK ENVIRONMENT:

  • Position is relatively sedentary in a normal office administrative environment involving minimum exposure to physical risks. Will use office equipment such as a computer/laptop, monitor, keyboard, and a general workstation set-up.
