This part-time position takes and fulfills reservation requests for individuals and groups at the Creighton University Retreat Center in Griswold, Iowa.
This position works directly with clients (student organizations, faculty, staff, alumni, external groups, etc.) from start to finish, and encompasses the successful arrangement of location, pricing, billing, collections, set-up, and meal requests. This position works as part of the main office which Is the primary point of contact for guests and is responsible for communicating and coordinating the guests’ expressed desires to the appropriate retreat center departments.
Operates a personal computer and appropriate software, one specific to retreat center. Resolves most questions and problems independently.
Assists with gift shop by buying goods for resale, displaying items, and answering questions and taking payment for items. Provides purchase and sales records.
And serve as a backup on calls for management staff and personnel, including offering hospitality beverage service as needed.
- Scheduling/Reservations
This position receives, processes, and inputs event requests into reservation software and coordinates logistical space usage. This position assumes primary responsibility for maintaining and updating the reservation scheduling systems so all users can see accurate information and availability. This role maintains thorough knowledge of event space usage, services, and set-up capabilities. This role communicates expectations of room usage, meal details and private sessions to other retreat center departments.
- Organizational/Logistical Support
This position supports logistical and operational functions of events by assisting in contract creation, invoice creation, reservation management (room setups, etc.), and other necessary duties. This role will maintain record of all Regular Event Status groups and proposed space reservations up to 3 years in advance. This position keeps in contact and communication with Regular Event Status clients to guarantee future business, and update requests/provide input as necessary. This role monitors event requests up to a year in advance, identifies high volume timeframes, and troubleshoots requests for conflicting. This role is responsible for notification and enforcement of rules and regulations specific to university contracting.
- Supplies
May assist in ordering regular supplies for daily functions at the retreat center and working with our vendors to obtain goods.
- External/ Internal Client Support
This position provides client event support by assisting both non-Creighton & Creighton guests and clients with space reservations, event needs, and logistical consultation. They will execute the pricing of contracts to include all set up, rental, and room fees. They will also confirm reservation status and needs prior to event, as well as follow up with client satisfaction afterwards to ensure a seamless event experience.

Qualifications:
- High school diploma or equivalent required.
- 4 years' administrative experience required
- Knowledge of Microsoft Office products, Word, Excel, PowerPoint.
Knowledge, Skills, and Abilities:
- Ability to multi-task.
- Must work with cash, credit card payments, and checks.
- Some bookkeeping preferred.
- Demonstrated customer service focus and ability to resolve conflict and deal with demanding clients.
- Ability to think independently and analyze problems and reach solutions.
- Ability to work independently and anticipate required work and self-initiate projects that have periodic or cyclical deadlines.
